Preparing Artwork for Embroidery: A Practical Guide

Good artwork makes great patches. Learn which files to send, how to simplify a logo for thread, and what details to include with your order.

Great embroidered patches start with clear artwork. You don't need to be a designer — our team handles the technical preparation — but a few simple steps help us produce an accurate proof faster.

Which files should you send?

Vector files are ideal: AI, EPS, SVG or PDF files saved from design software. Vectors can be scaled to any size without losing quality and make it easy to separate colors.

High-resolution images work too: PNG or JPG files at least 1,000 pixels wide are usually fine. Avoid screenshots, heavily compressed images and photos taken at an angle.

Sketches are welcome: If you don't have digital artwork, a clean sketch or a photo of an existing patch is enough for our designers to recreate.

What is digitizing?

Embroidery machines don't read images — they follow a stitch file that tells the machine where each stitch goes, which direction it runs and which color to use. Converting artwork into this file is called digitizing. It's a skilled process, and our team handles it for every new design.

Simplify for thread

Thread is wonderful, but it's thicker than ink. Designs translate best when they:

  • Use bold shapes and avoid hairline details
  • Limit colors to the ones that matter (most patches use 4–8)
  • Avoid gradients and photographic effects, which don't stitch well
  • Keep text short and at least about 1/4 inch tall

If your logo has a long tagline or tiny lettering, consider removing it for the patch version or choosing a woven patch.

Specify your colors

If you have brand colors, include Pantone (PMS) numbers or a brand guide. We'll match thread colors as closely as possible. Remember that thread has sheen and texture, so colors can look slightly different from print or screen.

Tell us about the use

Include details that affect design decisions:

  • Where it will be worn (hat, sleeve, chest, vest, bag)
  • Garment color, so we can choose contrasting border colors
  • Size you have in mind
  • Backing preference
  • Whether it must match an existing patch

Check your rights

If your design includes a logo, mascot, seal or insignia you didn't create, make sure you have permission to reproduce it. This is especially important for official department artwork, military insignia, university marks and brand trademarks.

Review your proof carefully

Before production, you'll receive a digital proof. Check spelling, colors, size and border carefully. Production begins only after you approve.
